From Concept to Container: Our Streamlined Wholesale Order Process
Sourcing soft play equipment internationally shouldn’t be complicated. At Startinal Toy, we’ve perfected a transparent, six-step process that ensures clarity, quality, and peace of mind for our B2B partners.
You’ve seen the market potential and understand the importance of quality. Now, you need a manufacturing partner you can trust to deliver. The biggest question for most B2B buyers is: “What does the process actually look like?”
This guide demystifies every stage of working with us, from your initial idea to the moment your container is shipped. We believe in partnership through transparency. For a complete overview of what to look for in a supplier and the products we offer, be sure to review our Ultimate Guide to Soft Play Wholesale.
Our 6-Step Partnership Process
We’ve engineered our workflow to be as efficient and communicative as possible. Here’s exactly what you can expect:
-
Step 1: Inquiry & Consultation
It all starts with a conversation. You reach out to us with your project idea, whether it’s a standard wholesale order or a fully custom design. Our dedicated B2B account manager will connect with you to understand your specific needs: target market, desired products, quantity, customization requirements, and budget. The more information you can provide, the faster we can move.
-
Step 2: Custom Design & Quotation
This is where your vision comes to life. For custom projects, our design team will create professional 2D layouts and 3D mockups, allowing you to visualize the final product. We can incorporate specific colors, logos, and features to align with the latest market trends. Alongside the design, you’ll receive a detailed, itemized quotation with no hidden fees. We’ll clearly state the price per unit, material specifications, and estimated production time.
-
Step 3: Sample Confirmation (Optional but Recommended)
For large or custom orders, we highly recommend a physical sample. This allows you to feel the high-density foam, inspect the commercial-grade vinyl, and see the quality of our stitching firsthand. Once you approve the sample, it becomes the “golden sample” or quality standard against which we produce your full order.
-
Step 4: Deposit & Mass Production
Once the designs and quote are approved, we proceed with a formal Proforma Invoice (PI). Mass production commences upon receipt of the deposit (typically 30-50%). Your dedicated account manager will provide you with a clear production schedule and keep you updated on key milestones. You’re never in the dark about the status of your order.
-
Step 5: Quality Control (QC) & Final Payment
Trust but verify. Before anything is packed, our internal QC team conducts a thorough inspection based on the approved sample and technical specifications. We check dimensions, colors, stitching, and overall construction. We are happy to provide you with detailed QC photos and videos for your approval. Reading about common supplier issues can help you appreciate this step; see our article on avoiding supplier pitfalls. Upon your approval of the QC report, the final balance payment is arranged.
-
Step 6: Professional Packing & Logistics
Your investment is carefully packed to withstand international shipping. We use durable materials and efficient packing methods to maximize container space and reduce your shipping costs. We can operate on various Incoterms (like FOB, EXW, CIF) and can either work with your designated freight forwarder or arrange shipping for you through our trusted logistics partners. For a deeper understanding of these shipping terms, you can reference the International Chamber of Commerce (ICC).

How long does the design and quotation phase (Step 2) usually take?
For standard products, a quotation can often be provided within 24-48 hours. For custom 3D designs, the initial concept is typically ready within 3-5 business days, with revisions handled promptly thereafter.
What are your standard payment terms for wholesale orders?
Our standard terms are typically a 30% deposit to begin mass production and a 70% balance payment upon completion and before shipment, after you have approved the Quality Control (QC) report. For long-term partners, more flexible terms can be discussed.
Can I make changes to my order after production has started?
Changes made after mass production has commenced can be difficult and may incur additional costs or delays. We strongly encourage finalizing all details during the design and sampling stages. However, we will always do our best to accommodate our partners’ needs and will transparently communicate the impact of any requested changes.
How will I know my products are being made to the correct standard?
Through our multi-stage quality assurance. It begins with a detailed Proforma Invoice, followed by an optional “golden sample” for you to approve. Finally, we provide a comprehensive pre-shipment QC report with photos and videos, ensuring the final product matches the approved standard before you make the final payment.
